Title: Executive Assistant
Reporting to: Office Manager

Job Purpose
Complete administrative duties for the senior leadership team which allows them to focus on the critical success of the company.

Principal Accountabilities/Key Results Area
Interact with others in a manner that promotes respect, confidentiality and dignity.

xecutive Administrative Support:

  • Provide direct administrative and office management support to all members of the senior management team, as directed by verbal or written instruction; clarifying deadlines and priority sequence if unclear
  • Confidentially coordinate agendas, meetings (including teleconferences) and activities for senior executives using Outlook and other communication and organization tools
  • Accurately complete expense reports for members of the senior management team and remit to Accounting for timely processing
  • Prepare error free and professionally branded correspondence such as memos, agendas, Board reports, emails and letters, customized to each Executives preferred style
  • Coordinate the logistical aspects of strategic planning sessions, special events, board meetings, or other meetings as requested
  • Pleasantly greet visitors entering the corporate office and assist them in reaching their meeting
  • Screen phone calls and general emails and properly pass them to senior managers or their voice mail/email as appropriate
  • Arrange catering for in-house meetings with sensitivity to dietary concerns and budgets
  • Manage company communication plan so that messages from the senior management team are disseminated timely and to the right audience
  • Prepare accurate and up to date monthly financial performance binders for senior management team
  • Reception Management:

  • Greet people coming into the office and direct them to the appropriate contacts
  • Provide information in person and by phone, and maintain front desk security and security access lists
  • Coordinate the meeting rooms schedule
  • Operate telephone system to answer, screen and forward telephone calls, take messages and provide information as required
  • Send and receive faxes
  • Process incoming and outgoing mail
  • Sort and process General Requests
  • Order office supplies and arrange for servicing for the photocopiers and other office equipment when necessary
  • Other various administrative duties

  • Acquired Skills:

  • Above average Microsoft Office skills required
  • Accurately manage a multi-line phone system, and a cash register and debit machine Personal Attributes
  • Demonstrable strong organizational skills and the ability to prioritize
  • Attention to detail and accuracy, appropriately balanced with the need to complete tasks
  • Excellent interpersonal communications skills with a cordial and respectful demeanor

  • Monday to Friday 09:00am to 05:00pm
  • Some evenings and weekend are required
  • Valid driver’s license with access to personal transportation

  • Salary: $14.50 /hour
  • Minimum Qualification/Experience:

  • Grade 12/ 1 Year
  • Notice Period

      Notice Period within the probationary period is 1 weeks after the date of resignation

      Period after the probationary period is 2 weeks after the date of resignation

      If employee fails to serve notice period, he will not be eligible for his last 15 days salary and end of service benefits
